Personal Data and Privacy Statement

The General Data Protection Regulation (GDPR) of the European Union came into effect on May 25, 2018. The purpose of GDPR is to respect people’s right to privacy and control over their own personal data. On a practical level, GDPR ensures that organizations process personal data in a secure manner, and that they are transparent about their data handling processes.

The Norwegian Scientific Academy for Polar Research (NVP) is committed to protecting and respecting your privacy.

This statement explains when and why we collect personal information, how we use it, the conditions under which we may disclose it to others and how we keep it secure. We may change this policy from time to time so please check this page occasionally to ensure that you’re happy with any changes. By using our website, you are agreeing to be bound by this policy.

 

How do we collect information from you?

NVP academy members inform us of about the relevant contact information when sending nominations for membership and after a member is admitted whenever that contact information changes. This contact information is maintained by the NVP office, based at The University Centre in Svalbard (UNIS).

NVP academy members agree to receive regular updates from NVP’s news via our regularly newsletters. Members can unsubscribe at any time using the link in the newsletter message.

What type of information is collected from you?

NVP collects and maintains names, email addresses, institutional affiliations and titles for its individual, honorary members and relevant contact persons at its institutional members.

We also maintain CVs and publications list (if provided) for NVP academy members.

How is your information used?

NVP uses the contact information for communicating about our relevant activities and relevant information from our cooperative partners. By providing names and email addresses to NVP, our members accept these terms. We may use your information to:

  • Communicate about news, information and events relevant to members of the Academy

  • Share institutional contact information on the member profile pages of the Academy website.

  • Update and maintain relevant individual and institutional members information.

  • Conduct Academy activities.

  • Send you communications which you have requested and that may be of interest to you.

Who has access to your information?

We will not share your information to third parties outside the Academy. As NVP administrative functions are responsibility of the Secretariat, it is necessary for relevant NVP staff (Secretary General and Office Manager) to have access to your contact data. However, this information is only used for NVP-related purposes (defined above) and not shared beyond those who have administrative roles at the Academy.

Third parties, who provides services on our behalf act as trusted data processors on NVP’s behalf:

  • Squarespace (web hosting and web development)

  • MailerLite (newsletter management)

How you can access, update or remove your information?

You can request to see your personal information that we maintain, or have it updated or removed at any time by contacting our office: post@polar-academy.com. Please note, however, that contact information is provided as a condition of NVP’s membership.

Security precautions in place to protect the loss, misuse or alteration of your information

Personal data maintained by NVP (beyond what is shared publicly on the NVP website) is accessible only to designated staff who have relevant administrative roles in the organization. The data is accessible only with individual password-protected accounts.
